Pledge Receivable Administrator

Position Summary:
The Pledge Receivable Administrator is responsible for all pledge receivable cash receipts and Account
Receivable and designation records, preparing related monthly statements, and performing necessary
follow-up analysis.
 
Supervisory Responsibilities: None.
 
Essential Duties and Responsibilities:
• Record all pledge receivable cash receipts, write-offs, and adjustments
• Record all designated pledges and other designation responsibilities as assigned
• Input daily pledges receivable receipts and audited campaign batches with adherence to proper batch and update procedures
• Responsible for maintaining computerized account database and financial database
• Process electronic and credit card direct bill payments and contact donors regarding declined transactions
• Perform reconciliation of pledges receivable account database on a monthly basis
• Prepare monthly reports/schedules and ensure accurate and timely preparation and posting of pledges receivable journal entries
• Prepare electronic file of monthly billing statements and respond to related inquiries
• Prepare verification of receipt forms for donors upon request
• Update designation codes for all campaigns on an annual basis
• Train and supervise temporary auditors and data entry clerks
• Maintain organized filing system, ensuring enforcement of proper security measures
• Assist in pledge receivable collections and work with internal/external collection officer to maintain acceptable aging levels
• Conduct special analysis as assigned, relying heavily on MS Office Access and Excel
• Maintain adequate receivables forms and supplies
• Assist in campaign audit
• Perform reconciliation of general ledger and account database on a monthly basis
• Manage Positive Pay downloads with information provided by Senior Accountant
• Ensure adequate and accurate procedures are on file for all areas of responsibility of this position
• Assist in maintaining finance division work plan
• Prepare batch numbers and bank deposits on a daily basis
• Prepare reports, distribute correspondence and respond to inquiries regarding: Pledge acknowledgements
• Backup for daily mail
• Additional duties as assigned

Qualifications
Essential Knowledge, Skills and Abilities: 
To perform this job successfully, the individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities required.
• Must be eligible to work in the United States (No Sponsorship)
• At least 5-7 years of accounts receivable experience preferred, specifically related to non-profit/ pledge receivables preferred
• Experience managing at least 1-3 staff persons and their projects preferred
• Must be well organized and a self-starter
• Must be able to follow standard filing procedures
• Detail oriented, professional attitude, reliable
• Proficiency in MS Office (Word, Excel, Access, Power Point), 10-key by touch, data-entry
• Ability to type 60-65 wpm
• Strong problem solving skills, basis accounting principles knowledge, documentation skills, research and resolution skills, and data analysis skills
• Ability to communicate effectively verbally and in writing
• Must have strong work ethics and ability to work well in a team based environment
• Ability to interact with employees and vendors in a professional manner
• Knowledge and ability to perform basic mathematical computations such as percentages, fractions, addition, subtraction, multiplication and division quickly and accurately
Education Requirements:
• High School Diploma/GED required with some college coursework in accounting preferred
